Creating content
This page is for you who will create and maintain content in Sånn – whether you’re setting up a new binder from scratch or adding content to an existing one.
What does a content creator do?
Section titled “What does a content creator do?”In Sånn, there are two roles:
- Administrators create and manage binders, topics, and content
- Users view and review the content shared with them
This guide is for administrators.
Create a binder
Section titled “Create a binder”A binder is the main container for your content. Think of it like a physical ring binder: you might have one binder for HSE, one for equipment manuals, one for onboarding new employees, and so on.
Folder or binder?
Section titled “Folder or binder?”| Folder | Binder | |
|---|---|---|
| Structure | No topics | Divided into topics |
| Good for | Simple sharing of a few files | Structured training |
| Available from | Start (free) | Plus and up |
How to create a binder
Section titled “How to create a binder”Add topics
Section titled “Add topics”Topics work like dividers in the ring binder. They help users find their way around, and let you share parts of the content separately.
Tip: Keep topics focused – one topic per task or process works well. The order determines the display order for users.
How to add a topic
Section titled “How to add a topic”Add content
Section titled “Add content”The content library and the drawer
Section titled “The content library and the drawer”All content you upload ends up in the library under the Manage tab. From there, you can do two things with it:
- Add it to a topic – go to the Organize tab and drag the content from the library to the desired topic
- Leave it in the drawer – content that hasn’t been added to a topic stays available in the drawer and can be shared individually via link or QR code
The same content can be used in one or more topics without uploading it again.
Content types
Section titled “Content types”| Type | Description |
|---|---|
| Video | Uploaded file or recorded directly from mobile |
| Document | PDF, Word, and other files |
| Image | Single image or image series |
| Text | Formatted text written directly in Sånn |
| Link | Points to a website or external resource |
How to upload content to the library

Section titled “How to organise content into topics”Working with videos
Section titled “Working with videos”Video is often the most effective content type – especially for instructions and procedures.
Upload a video
Section titled “Upload a video”You can upload the most common video formats (MP4, MOV, and more). After uploading, the video is automatically converted to adaptive streaming format (HLS/DASH), which provides stable playback on all devices and network speeds.
Note that the converted version also counts against your storage quota. Read more about storage.
Record video directly from mobile
Section titled “Record video directly from mobile”Subtitles
Section titled “Subtitles”Sånn can generate subtitles automatically from the video’s audio. Read more about subtitles and translations.
Share content with users
Section titled “Share content with users”Content is shared via link or QR code. Recipients don’t need a Sånn account to view the content.
Share a topic
Section titled “Share a topic”You can also share individual content: open the content, click Share, and copy the link or QR code.
From the Pro plan, you can share across binders – useful when the same instructions are relevant in several contexts.
Set up Seen & understood (sign-off)
Section titled “Set up Seen & understood (sign-off)”Seen & understood lets you ask users to confirm that they’ve reviewed the content. You can see in real time who has completed it.
Available as an add-on on Plus and Pro, included in Enterprise.
First time: enable the feature
Section titled “First time: enable the feature”Before you can use Seen & understood, it must be enabled in settings.
How to create a sign-off
Section titled “How to create a sign-off”Keeping content up to date
Section titled “Keeping content up to date”- Replace files instead of deleting and re-uploading – this preserves sharing and sign-off history
- Archive topics or content that are no longer active, instead of deleting them
- If you have active sign-offs and make significant changes to the content, consider creating a new sign-off
